Privacy Policy

What Truckvisor is
Truckvisor is a business-health advisor for small trucking carriers. A carrier's owner
and staff sign in to see the carrier's own operational and financial picture. It is a
business tool — we have no ads, no analytics brokers, and we never sell data.
Information we collect

Account information — your email address and your role within your
carrier (owner, office, or staff). Sign-in is handled by Google Firebase
Authentication; we never see or store your password.

Business data your carrier connects or enters — fleet records
(trucks, drivers, loads), and, if the owner connects QuickBooks Online, invoice and
revenue summaries retrieved with the owner's explicit authorization through Intuit's
API.

Push notification token — a device identifier issued by Firebase
Cloud Messaging so the app can deliver ticket alerts you've opted into. Stored only
while notifications are enabled for your account.

Payment setup information — if your carrier pays you through
Truckvisor, your name, email address and phone number are sent to our payments partner
Straddle so they can create your payment profile and run identity checks required by
law. You link your bank account inside Straddle's own widget: your bank login and
account numbers go directly to Straddle and are never seen or stored by Truckvisor. We
store only an encrypted token that stands for the link, plus the payment history
(amount, date, status) needed to show you what you were paid.

Vehicle and driving data, when your carrier connects an ELD — if your
carrier connects its electronic logging device or telematics provider (for example
Motive or Samsara), we receive vehicle location, odometer and mileage, hours-of-service
availability, safety events and engine diagnostics for that carrier's fleet. This is
the carrier's operational data, supplied by the carrier's provider under the carrier's
authorization, and mileage from it may be used to calculate driver pay.
The Truckvisor apps do not collect location from your phone. We collect no contacts and
no advertising identifiers, and we run no ad networks or analytics brokers.
How we use it
Solely to provide the service: computing your carrier's health snapshot, routing
operational tickets to the right person, and sending the notifications you enabled.
Nothing else.
Text messages (SMS)
Truckvisor runs two text programs, both opt-in. We do not send
marketing or promotional text messages, and we never text a number that
has not asked us to.
Account verification codes — one-time.

How you opt in — inside the Truckvisor mobile app you type your own
mobile number on the "Confirm your number" screen and tap Send code. That tap
is your consent, and it sends exactly one message. No code is sent unless you take that
action.

How often — one message each time you request a code.

Cost — message and data rates may apply, depending on your mobile plan.
Truckvisor does not charge you for these messages.

How to stop — reply STOP to any message to opt out;
reply START to opt back in. Reply HELP for help, or
email support@truckvisor.io. Opting out
means we can no longer verify your number, which may prevent you from setting up
payments.

What we keep — your mobile number and the time and outcome of each
verification, so we can show that the number belongs to you before payment details are
attached to it.
Document expiry reminders — recurring, opt-in only.

How you opt in — after verifying your number, you turn on
Text me document reminders on your own profile screen in the Truckvisor Driver
app. Only you can do this; the office cannot opt you in.

How often — up to three reminder texts per expiring document (7 days
before, 1 day before, and on the day it expires), sent from a dedicated reminders
number, separate from the number verification codes come from.

Cost — message and data rates may apply, depending on your mobile plan.
Truckvisor does not charge you for these messages.

How to stop — reply STOP to the reminders number, or
turn the toggle off in the app, at any time. Uploading a renewed copy of the document
also ends that document's reminders automatically. This does not affect verification
codes, which come from a different number.

What we keep — your mobile number, whether reminders are turned on,
and the time and outcome of each reminder we send.
No mobile information — your phone number or your consent to be texted — is
shared with third parties or affiliates for marketing or promotional purposes.
Your number is passed only to our messaging provider, Telnyx, for the sole purpose of
delivering the message you requested.

Sharing
We do not sell personal data, and we do not share it with anyone for their own marketing
or advertising. Data is processed only by the providers that run the service, each
receiving only what is necessary:

Straddle — our payments partner. When your carrier pays drivers through
Truckvisor, we share the personal data needed to process those bank payments and to meet
the identity-verification and anti-money-laundering rules that apply to them: for drivers,
name, email address and phone number; for the carrier, its business details and the
information its owner enters directly into Straddle's onboarding form. Straddle acts as
the payment processor and handles that data under
its own privacy policy.
- Stripe — subscription billing. Stripe handles card details directly; we never see a full card number.
- Google Firebase — sign-in and push notification delivery.

Telnyx — delivery of the one-time verification codes described above.
Telnyx receives your mobile number and the code, solely to deliver the message, and
never for its own marketing.
- Our database, API and file-storage hosting providers — running the service itself.
- Intuit — only when your carrier's owner connects QuickBooks Online.

Your carrier's ELD or telematics provider (for example Motive or
Samsara, connected through Terminal) — only when the carrier connects one, and only for
that carrier's own fleet data.

Law enforcement or regulators — where we are legally required to, or to
investigate fraud or protect someone's safety.
Security & tenancy
All data is encrypted in transit (TLS) and at rest by our hosting providers. Payment
tokens are additionally encrypted by us with a key held outside the database. Every record
is scoped to your carrier and enforced at the database level — one carrier can never read
another's data. Financial figures are additionally restricted to the carrier's owner.
Access to production systems is limited to staff who need it, and we investigate and
notify affected users of any security incident that puts personal data at risk.
Retention & deletion
Business records are kept while your carrier uses the service, because the product's value is
its history. You can delete your own account from the phone app at any time
(Settings → Delete account). That removes your login and your personal seat; your carrier's
shared business data is not affected. If you are the sole owner of a carrier, contact us at
support@truckvisor.io to close the company and
erase its data. See how to delete your account.
Payment records are kept for at least 2 years after the payment, and
longer where the law requires it, because ACH payments, identity verification and
anti-money-laundering rules oblige us and our payments partner to retain them. Deleting
your account does not delete those records within that period. Once a retention period
ends, records are deleted or irreversibly anonymized.
Your privacy rights
Whatever state you live in, you can ask us to:
- Access — tell you what personal data we hold about you and give you a copy.
- Correct — fix anything that is wrong or out of date.
- Delete — erase your personal data, subject to the payment-record retention above.
- Opt out — of any sale, sharing, targeted advertising or profiling. We do none of these, so there is nothing to opt out of.
Email support@truckvisor.io from the address on
your account, or write to us from any address and we will verify your identity before
acting. We acknowledge requests within 10 days and answer within 45 days, and we may
extend that once by another 45 days if a request is complex — we will tell you if we do.
There is no charge, and we will never treat you differently for exercising these rights.
If we turn a request down we will tell you why, and you can appeal by replying to our
answer; we respond to appeals within 45 days. Residents of California, Colorado,
Connecticut, Virginia, Utah, Texas and other states with privacy laws have these rights
by statute, and residents of every other state have them because we apply the same
process to everyone. You may also complain to your state Attorney General.
Much of the data in Truckvisor belongs to your carrier rather than to you personally. If
you ask us to change or delete records your carrier owns — loads, settlements, fleet
records — we will point you to your carrier, and help them action it.
